Do you really want to go into your work environment only to see a pile of unfiled papers in one area, when many different folders and papers scattered in a layers and inches deep about your work surface or an accumulation of disks here or a pile of reports leaning in a stack over there? Who wants to see used coffee cups an old newspapers and reports push here and there? Wouldn’t you like to be able to find your office supplies such as the stapler, a pen or pencil, the scissors or even the mouse and keyboard without having to rummage through a mess? Do you sometimes find yourself being reprimanded by your boss for missing deadlines because she forgot to write them down your calendar? There’s a solution to all of these problems. Simply organize your work space.
The first thing you must do is create ample amount of office space. Take the time to clear the walk way of your office area. Removing any office equipment that is not being used and random boxes that may be placed against the walls or beneath cubicles. You may be pleasantly surprised by the amount of space you have when you take the time to remove these excess items. Overall, when you organize your office you will have less mess which will equal less stress.
Think of one place in your work area that you use on a consistent basis. More than likely you are thinking about your desktop. You should consider your desktop as more than just a place where you speak to your fellow coworkers. It is a multi-purpose area it is used to hold your computer, fax machine and files and other papers that are of significance. You should spend time cleaning your desktop first. Take everything off the desktop and place smiliar items next to one another on the floor. Place folders that need to be filed together, place loose documents together, and all of your writing utensils such as pens, pencils and highlighters should be organized as well. In the papers there are no longer needed should be discarded or shredded. If you have any old newspapers, post it notes or first drafts for documents lying around simply throw them away in order to organize your work space.
If it becomes apparent that you are in need of more space for various items it is recommended that you purchase or obtain additional hanging file folders that can be placed on your filing drawers, bins or on desktop shelves. For loose items such as writing instruments, paperclips, staplers and staples drawer organizers are very helpful. To organize your office more efficiently you can utilize hanging bins that can be placed directly on the wall or attached over a cubicle wall.
One of the best ways to organize your work space is by labeling. If you use labels for your shelves, file folders and bins then you will be able to locate items when you need them. Likewise, organizing labeled files in a specific manner such as alphabetically wor by other criteria such as client or job can be very helpful. Bulletin and magnetic dry erase boards can be placed on your wall to help you remember appointments and other events. Paperweights a very effective for holding down loose documents on your desk.
The state of your office area is a reflection of your character. Thus, it is vital that you organize your office. In order to project the appearance that you are an organized, capable individual your work area must be tidy. Likewise, when you are organized this can help your co-workers to become organized and remain that way. Taking the time to organize your work area can postively effect you. You simply need to take the time to perform the task.
